Operations Council Report February 2022

Worship

Air flow plan: Scott Armour, the industrial hygienist, will be conducting his third site visit on 2-23-22.

Sound system update: Mike reported that he is in regular contact with the vendor and the installation continues to be on track. He has referred questions from the vendor about the availability of network services to the Tech Team. The vendor has said that there needs to be a desk in the choir loft for the person who is broadcasting/taping events. Mike suggested that the desk have a lockable drawer for the laptop that will be used. This will be referred to B&G for purchase.

ReGathering Committee: Ray reported that the Committee recommended continuing with current Covid policy. Randy emphasized the need for opportunities to share food and drink as part of our congregational community.  OC discussed this at length and asked the ReGathering Committee to set up a policy for determining when and how we can share food and drink again starting with small groups, then large congregational meetings and finally renters.

Mike led a discussion on when an expanded choir can practice and perform; the special singing masks have arrived. It was agreed that he can start having choir practice and Sunday Services whenever he can practically schedule it.

Events

Kol Ha Lev has postponed its trial run of having a service at UUCC in February. Their Education Director will meet with Tom or Ken and decide whether they will have the trial in March. Tom McKenna will follow up.

Greater Cleveland Flute Society will be holding a concert April 24th. In exchange they will perform at a Sunday Service. Mike will cover the custodial service charge out of his paid musicians’ fund. This generated a discussion of when should UUCC charge for custodial services. Rita does have the list of rental fees for various rooms at UUCC but was unsure of when to ask for the custodial services fee. OC recommended that she consult with Tom and Ken to establish a procedure for when to set fees on her own and when to consult with them.

The Junior Fortnightly Music Club will be holding two recitals (2/20 & 3/6) and will provide a donation to cover the custodial services fee. They had been referred to UUCC by CIM.

Buildings & Grounds

Repair of roof, hallway ceiling, ceiling tiles: not completed due to weather

Copier lease: Ray reported that he has left several messages with the leasing company to pick up the copier but has received no return call.

The Cleaning Service: they have not started yet.

Custodian’s phone: Allan has sent the information to set this up to Michael?

Training of volunteers for door locking and unlocking: Michael and Allan have been trained to do this but there is still a need to train UUCC volunteers.

Closing of building due to weather or other issues: the building is closed whenever the Shaker Hts. Board of Education closes the city schools (216-295-1400) or check one of the local TV channels: https://www.news5cleveland.com/weather/school-closings-delays  Tom or Ken will notify Rita (via home email or phone?) when the bldg. is to be closed and she will send an email to all the renters and others who are scheduled to use the bldg. (e.g. staff, small groups, welcome volunteers, etc.) This procedure will not work as my work day begins at 9:30 or 10:00 am. Some of the renters need this information prior to my start time.

Communications

Internet: David: nothing to report

Social media: Allan and Sharon gave a brief report that significant progress is being made: a draft social media plan has been developed; a calendar has been established and contend providers identified; and other issues prioritized. David reported that Google needs to have a UUCC credit card used to pay for marketing expenses; Allan said that his UUCC credit card can be used.

Randy and Sharon have drafted an updated job description for Sharon.
